Privacy Policy

1. Who we are

RecruiterOps is operated by Ketorah Digital AI Systems, a sole proprietorship based in New Jersey, United States ("RecruiterOps," "we," "us," or "our"). This Privacy Policy explains what information we collect, how we use it, and the choices you have.

2. Two kinds of data in RecruiterOps

It helps to separate two categories of information:

  • Your account data — your name, email, company name, billing information, and how you use the Service. We collect and are responsible for this data.
  • Your business data— the job, candidate, and client records you enter into RecruiterOps to run your recruiting desk. This data is entered and controlled by you. RecruiterOps is a tool for managing this data on your behalf, not a records-of-record system — you are responsible for the data you collect and enter, including for having a lawful basis to collect it and for meeting any retention obligations that apply to your business. This includes data RecruiterOps's AI features generate on your behalf, such as requirement criteria and candidate scores — RecruiterOps holds this data as your service provider, not as an independent decision-maker or agent.

3. Information we collect

We collect:

  • Information you provide directly: name, email, company name, and account preferences;
  • Business data you enter: job descriptions, candidate information (which may include names, contact details, resumes, and notes you add), client information, and outreach content;
  • Billing information, processed by our payment processor (we do not store full card numbers);
  • Usage data: pages visited, features used, and AI action counts, used to operate and improve the Service; and
  • Attribution data: where you came from (for example, which campaign or link led to your signup), used only to understand what's working, not to track you elsewhere.

4. AI processing and Groq

Certain features (candidate ranking, outreach drafting, job description enhancement, and related AI features) send relevant data — such as a job description or candidate details you have entered — to Groq, our AI infrastructure provider, to generate the underlying analysis. Per Groq's published data policy, Groq does not train its models on API customer inputs or outputs by default. Data sent to Groq is processed to generate a response and is not used to train models serving other customers. These AI features function as part of the Service you control — they generate proposed structure and scoring for your review, not decisions made on your behalf or on behalf of any employer.

5. Who else sees your data (subprocessors)

We use the following service providers to operate RecruiterOps. Each processes data only as needed to provide their service to us:

  • Supabase — database, authentication, and file storage;
  • Groq — AI processing for ranking, outreach drafting, and related features;
  • Stripe — subscription billing and payment processing;
  • Resend — transactional email (welcome, notification, and account emails); and
  • Netlify — application hosting.

We do not sell your data, or your candidates' or clients' data, to anyone.

6. How we use information

We use the information we collect to:

  • Provide, maintain, and improve the Service;
  • Process billing and manage your subscription;
  • Send account-related emails (welcome, billing, deletion notices, and product updates you've opted into);
  • Understand which marketing channels and content actually drive signups; and
  • Detect and prevent misuse of the Service.

7. Data security

We use row-level security so that one account's data — including candidate and client records — is never visible to another account. We use industry-standard encryption in transit and at rest through our infrastructure providers. No system is perfectly secure, and we cannot guarantee absolute security.

8. Data retention, export, and deletion

We retain your account and business data for as long as your account is active. If you cancel your subscription or close your account, we email you immediately with a working data-export link and the exact date your data will be permanently deleted — you have 10 days from that notice to export everything (jobs, candidates, clients, and all related records). Resubscribing within that window cancels the scheduled deletion.

After the 10-day window, your account and all associated data are permanently deleted from our systems. We retain only a minimal proof-of-deletion log (confirming a deletion occurred and when) with no business data attached.

9. Your choices and rights

You can access, update, or export your account and business data at any time while your account is active through the Service. You can request account closure and data deletion at any time by cancelling your subscription or contacting us at ketorah.digital@gmail.com.

10. Children's privacy

RecruiterOps is intended for business use by recruiting professionals and is not directed to individuals under 18. We do not knowingly collect information from children.

11. Where we operate

RecruiterOps is currently offered to users located in the United States, and data is processed and stored using U.S.-based infrastructure providers.

12. Changes to this policy

We may update this Privacy Policy from time to time. If we make material changes, we will notify you by email or through the Service before the changes take effect.
